Take storage. Consumer-grade Google Drive or similar platforms offer a fixed allocation - enough to get started, not enough to grow. Most businesses don't think about it until they've already run out, at which point they're upgrading reactively, package by package, hoping it holds.
By the way, the costs of that constant, gradual upgrade can be seriously expensive. A dozen more ‘seats’ on a standard Google package will be a noticeable expenditure.
The same is true for compliance. Tools aimed at home users weren't built to meet the security and data handling requirements that apply to businesses - and as you grow, those requirements get stricter, not easier to ignore.
You might not think that compliance is something that is holding business growth back, but when you start pitching for corporate clients - or you begin putting in tenders for larger ideal clients - they will often require deeper levels of compliance that you just can’t achieve with basic software options.
Scaling Reveals Everything
Research consistently shows that IT complexity is one of the leading causes of operational drag in SMEs. As headcount grows, the number of potential failure points grows with it - more devices, more users, more data, more risk.
Nearly half of UK small businesses plan to scale in the next one to two years. Yet 43% say a lack of technical expertise could hold them back. (PayPal Business of Change Report, 2024). The ambition is there. The IT plan usually isn't.
What a Plan Actually Looks Like
The businesses that scale without IT becoming a crisis don't have better luck. They have a technology roadmap - a clear picture of:
Which hardware is due for replacement and when
Which software licences they're outgrowing
What compliance requirements kick in as headcount increases
Whether their current setup can realistically support 10, 20 or 50 more people
